Volunteer: Pantry and Warehouse Manager

Position Summary

The Pantry and Warehouse Manager serves as a key member of the Operations team at West Suburban Community Pantry. The Pantry and Warehouse Manager is primarily responsible for managing the Pantry staff and volunteers running the daily operations in the lobby, In Person market, and the warehouse, overseeing the neighbor (client) database, and ensuring cohesiveness across Market operations. The Pantry and Warehouse Manager ensures that West Suburban Community Pantry, provides high quality food service that can meet the needs of its neighbors. The Pantry and Warehouse Manager reports to the Director of Pantry Operations.


Essential Job Functions

Oversee operations for the food pantry lobby, in-person market shopping area, and the warehouse including developing SOPs, training volunteers and creating a welcoming and clean environmentManage and train operations staff reporting to the Pantry and Warehouse Manager role, currently includes 2 full-time positions, the Lobby and Market Coordinator and the Warehouse Coordinator. This includes regularly meeting, ongoing feedback and coaching and annual performance review and goal setting.In collaboration with the Director of Pantry Operations, develop key performance metrics and goals for team relative to neighbor satisfaction and service.Leads service delivery and process improvements in the In Person Market, lobby, and the warehouse.Responsible for handling escalated conflicts that may arise within pantry respectfully, fairly and enforcing pantry policies across all neighbors and volunteersSupervises coordinators who are supervising the daily tasks for lobby, In-Person Market, and warehouse operations (opening, registration, stocking, maintaining clean and safe space, answering neighbor and volunteer questions).Oversee regular maintenance of Pantry facilities including vendor management, ordering supplies, scheduling repairs and maintenance and managing expense budgetPlaces weekly NIFB orders for Wednesday’s and Friday’s deliveries.Assist in the supervising and training of volunteers to facilitate successful daily operations of the warehouse and food handling process.Supervise a current inspection of all exit doors, fire extinguishers, and emergency equipment (including first aid kits) to ensure working order.Schedule training meetings to keep staff updated on safety policies and procedures.Works with the Volunteer Coordinator to welcome and onboard new volunteers (tour, supplies, introductions to other volunteers).Collaborate with Volunteer Coordinator to regularly review needs for volunteer shifts and make changes as appropriate to optimize operations and resources. Learn Better Impact, the volunteer database, to be able to support volunteer communication and recruitment as needed.Identify potential projects or volunteer lead roles for operations and collaborate with Volunteer Coordinator to recruit and train volunteers for those projects/rolesWork with pantry staff to ensure all program changes and information is communicated to necessary stakeholders including neighbors (clients) and volunteersCollaborate with the Director of Pantry Operations and the Online Operations Manager to assess and improve pantry services and food programs as needed to meet the needs of the communityTroubleshoots issues with the client database with Pantry Soft (web developer)Maintains safe, secure, and productive work environmentAbility to drive a cargo van and box truck. Qualifications

Additional Information

Some work is performed in a warehouse with a significant amount of walking on concrete surfaces. Entrances may be open, and work conditions during the summer months can be very hot and during the winter very cold. Employee may be going in and out of freezers and coolers with variations in temperature. Work involves moving boxes and employee must lift, bend, stoop, pick up and move objects up to 50 pounds. Work involves using manual pallet jacks and therefore requires an ability to push and pull pallets over 2,000 pounds.

This position is full-time working a minimum of 40 hours per week with a 30 minute unpaid lunch; this position requires flexibility in a work schedule. WSCP offers primary holiday and paid time off for all full-time employees. WSCP offers medical, dental, and vision insurance. We also offer a Simple IRA plan.

Work hours are Tuesday and Wednesday, 730 – 400, Thursday, 730 – 630, Friday, 730 – 300, and Saturday, 730 – 230. Occasional changes will be needed for coverage and flexibility will be required.

Position Summary

The Food Pantry Coordinator (“Coordinator”) is a key member of West Suburban Community Pantry (WSCP) Operations team. This position assists with the management of WSCP’s online market warehouse and distribution center. The Coordinator is responsible for maintaining proper food inventory levels for the online grocery orders; supervising the picking, packing and distributing of orders, overseeing volunteers, managing the database and other related tasks.

The Coordinator provides service to our neighbors with compassion, dignity and respect. This position reports to the Inventory and Online Market Manager.


Essential Job Functions

Oversee order fulfillment for all online grocery orders including printing orders, picking and packing orders and canceling orders.Add new inventory to the Pantry Soft database grocery list.Maintain accurate inventory of food and product in the warehouse.Restock and cull produce in the food pantry as needed.Work in coordination with staff and volunteers at the main WSCP warehouse to move food and produce between warehouses. This includes the use of manual and battery powered pallet jacks and walkie stackers. (Prior knowledge not required; training will be provided.)Serve as point person for remote site deliveries including DoorDash.Train and supervise volunteers including welcoming all volunteers, planning volunteer jobs and assigning tasks to individuals.Maintain a safe, secure and healthy food pantry environment including adhering to Northern Illinois Food Bank food safety and other requirements.Drive WSCP van or truck to pick up donations or drop off orders as needed.Attend staff meetings, required training, and pantry’s major fundraising events as needed.Performs other duties as assigned by the Manager or Director of Pantry Operations.
